Part 1

Entering and Pushing Demographics from Zencharts to Avea Office 

Login to "ZenCharts"

Click 'View all' to enter pending admissions. 

Select 'Add New Client'

Enter New Client information, and be sure to fill out all required fields including clients email address and date of birth. Click 'Save Potential Client'.

Select 'Insurance' as the payment type. 

Fill out all the required fields as indicated by red asterisk on the insurance information pop up. 

Complete and approve the VOB and Pre Admission Assessment 

Now your client will be 'Ready To Be Converted'.

Convert the client and sign the 'Consent for Treatment'. Select the Track, Bed, Case Manager, Therapist, Schedule, Level of Care and Emergency Contact. 

At this point saving the facesheet in ZenCharts will be the first push of information into Avea Office. After this step we will see our client in Avea Office 

Now that the client is in Avea Office, additional information in ZenCharts will automatically push to Avea.

Pushing an Authorization to Avea Office 

In order to send our initial authorization to Avea we will need to enter an 'Admitting Diagnosis' in ZenCharts. 

I am going to use the 'Initial Psychiatric Evaluation' and enter the diagnosis. This can be done in any assessment that uses the diagnosis module. 

Once I have the diagnosis entered, Save the facesheet in ZenCharts. 

Refresh your page in Avea Office and you will see the 'To Do' Error is gone. The admitting diagnosis will now be displayed. 

Now that we have this information we can enter our authorization in ZenCharts. 

Go to 'Utilization and Review', then the 'UR Queue'. From the 'UR Queue' click 'Add New Authorization'. 

Select the clients name from the drop down list, the insurance information will appear. Fill out all required fields indicated by the red asterisk. Once complete click 'Add Authorization'. 

Once the authorization is added in ZenCharts, go to Avea Office, refresh your page, and you will see the authorization in the UR section.
